As our office manager, you’ll provide a best-in-class experience for your coworkers by ensuring the office operates efficiently, smoothly, and has everything Grow’s employees need to do their best work every day.

You’re the go-to person for employees’ needs regarding equipment, software, office supplies, and travel arrangements. You’ll be the captain of the office, managing the daily readiness of the facility and equipment and keeping our supplies and snacks well-stocked. You’ll always be on the lookout for how we can improve the office from the POV of your coworkers. 

Our ideal candidate is extremely organized and is able to wear many hats while managing a sizable number of projects and tasks. You have a great eye for detail, and you probably have a passion for developing and following efficient processes. You are also empathetic to the needs of others and have a naturally warm demeanor. 

Responsibilities:

  • Keep the office ready for work every day, including setting up the conference rooms and stocking the kitchen daily, watering the plants, purchasing groceries and office supplies, managing our janitorial service, and generally keeping the office clean and organized during working hours.
  • Identify and implement improvements to the office to improve quality of life or reduce friction for Grow’s employees.
  • Perform administrative duties to keep the office up and running efficiently, including processing receipts and bills, answering the phone, processing mail and shipments, and greeting visitors or guests.
  • Purchase equipment and devices, manage our equipment inventory, and perform basic troubleshooting for employee and conference room equipment. Setup IT/AV for company meetings.
  • Manage software and tool contracts and subscriptions, including managing seat counts and adding/removing employees or contractors as needed.
  • Support the planning and execution of our culture initiatives and events, including vendor outreach and management, placing orders, and the setup/breakdown of events.
  • Execute repairs and updates to the office facility, both hands-on and through the management of contractors, vendors, and Grow’s property management company.
  • Support the onboarding of employees by purchasing and shipping their equipment, setting up their software accounts, and walking them through Grow’s tools and basic policies and procedures. Support offboarding of employees upon termination.
  • Book travel arrangements for employees and guests as needed, and be the main point of contact for assistance during travel.
  • Manage the maintenance and upkeep of Grow’s apartments, and prepare the apartments for guests.

Requirements

Proven experience as an office manager or in a similar role is highly desired.

This is a full-time position at our office in downtown Norfolk, Virginia.
